The Medical Scheduler is responsible for coordinating and scheduling patient appointments in a timely and efficient manner while ensuring a positive patient experience. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with patients, providers, and staff.
Key Responsibilities
- Schedule, reschedule, and confirm patient appointments according to provider availability and office protocols.
- Verify patient information, insurance eligibility, and referral requirements prior to appointments.
- Maintain accurate records in the electronic medical record (EMR) system.
- Coordinate appointments for multiple specialties or procedures when needed.
- Communicate professionally with patients regarding appointment details, preparation instructions, and follow-up care.
- Work closely with clinical and administrative teams to ensure efficient patient flow.
- Handle a high volume of incoming calls while maintaining courteous and professional communication.
- Manage scheduling conflicts and resolve patient concerns promptly.
- Follow HIPAA and organizational policies to protect patient confidentiality.
- Assist with other administrative duties as assigned.
Qualifications
- Education: High school diploma or equivalent required; associate degree or healthcare-related coursework preferred.
- Experience: Minimum 1–2 years of experience in a medical office, scheduling, or customer service role preferred.
- Skills:
- Proficiency with EMR/EHR systems and scheduling software.
- Excellent communication, time management, and problem-solving skills.
- Strong attention to detail and accuracy.
- Ability to multitask in a fast-paced environment.
- Knowledge of medical terminology and insurance processes a plus.
