Position Overview:

The Program Operations Coordinator serves as the operational backbone of Black Men Teach's Programs Division, providing project coordination, operational support, and administrative leadership across Secondary Programs & Educator Pathways, Postsecondary Success, Collective Impact & Partnerships, Recruitment, and Teaching & Learning.

Reporting to the Managing Director of Programs, this role ensures priorities remain organized, projects move forward, meetings result in action, and operational systems function efficiently. Working closely with program leaders, the Program Operations Coordinator creates alignment, accountability, and consistency across the division while allowing Directors and Managers to focus on strategy, partnerships, and program impact.

The ideal candidate is highly organized, proactive, solutions-oriented, and thrives in fast-paced environments where attention to detail, follow-through, and collaboration are essential.
 

Core Responsibilities: 

  • Program Operations & Project Coordination (35%)
    • Coordinate operational priorities across the Programs Division to ensure projects, initiatives, and deliverables remain on schedule.
    • Monitor project timelines, implementation plans, and action items while following up with team members to ensure timely completion.
    • Maintain project management systems, shared work plans, trackers, and operational dashboards.
    • Support the implementation and continuous improvement of standard operating procedures (SOPs), workflows, and operational processes.
    • Identify operational bottlenecks and recommend solutions that improve efficiency and collaboration.
    • Ensure program documentation remains organized, accurate, and accessible.
  • Leadership & Executive Support (25%)
    • Coordinate calendars, meetings, scheduling, and logistics for the Managing Director of Programs.
    • Support leadership meetings, one-on-one meetings, team meetings, and cross-functional planning sessions.
    • Prepare meeting agendas, capture meeting notes, document key decisions, and track follow-up action items.
    • Coordinate interviews, hiring logistics, and onboarding activities across the Programs Division.
    • Assist with travel coordination, conference logistics, and leadership event planning as needed.
  • Cross-Functional Coordination & Communication (15%)
    • Provide operational support to Directors, Managers, and cross-functional project teams.
    • Coordinate communication, shared initiatives, and collaborative projects across program functions.
    • Ensure organizational priorities remain aligned and information flows effectively across teams.
    • Support division-wide planning meetings, retreats, and organizational initiatives.
    • Strengthen collaboration by ensuring accountability, transparency, and timely follow-through.
  • Recruitment & Program Administration (10%)
    • Support recruitment communications, interview scheduling, and onboarding logistics.
    • Assist with Fellow outreach, event registration, and participant communications.
    • Develop and maintain forms, templates, operational resources, and recruitment materials.
    • Coordinate administrative support during recruitment cycles, orientations, retreats, and major program events.
  • Operational Systems & Continuous Improvement (10%)
    • Conduct research and gather information to support operational decision-making.
    • Review, proofread, and format internal and external documents.
    • Support implementation of new systems, tools, and operational improvements.
    • Troubleshoot operational issues and coordinate solutions across the Programs Division.
    • Recommend process improvements that strengthen operational effectiveness and team productivity.
  • Organizational Collaboration (5%)
    • Partner closely with the Managing Director of Programs to support division-wide priorities.
    • Collaborate with Directors and Managers to ensure consistent execution of organizational initiatives.
    • Support cross-functional meetings, planning sessions, and strategic projects.
    • Champion Black Men Teach's mission, values, and culture of operational excellence.
       

Qualifications:

  • Required 
    • Associate's degree or equivalent combination of education and professional experience.
    • Minimum of three (3) years of experience in project coordination, operations, nonprofit administration, executive support, program management, or a related field.
    • Demonstrated ability to manage multiple projects simultaneously while meeting deadlines.
    • Strong organizational, communication, and time management skills.
    • Experience coordinating meetings, projects, and operational workflows.
    • Proficiency with Google Workspace, Microsoft Office, project management software (Asana, Monday.com, ClickUp, etc.), and virtual meeting platforms.
    • Commitment to educational equity and supporting mission-driven organizations.
  • Preferred 
    • Experience supporting executive leaders or cross-functional teams.
    • Experience working within nonprofit, education, or human services organizations.
    • Familiarity with CRM systems, project management tools, and workflow automation.
    • Experience coordinating recruitment or hiring processes.

  • The person in this position needs to be able to move about inside and outside different facilities (e.g., schools) or offices throughout the workday.
  • The candidate is expected to attend conferences, meetings and training sessions both virtually and in-person. 
  • Ability to coordinate both in-person and virtual meetings, events, and operational activities.
  • Ability to remain stationary for extended periods while working at a computer and managing administrative responsibilities.
     

Work Environment

  • The standard work schedule is Monday through Friday. To support collaboration, community building, and teamwork, Black Men Teach requires staff to work on-site three days per week, Tuesday through Thursday. Mondays and Fridays are designated as remote workdays.
  • This position operates in a collaborative, fast-paced hybrid work environment requiring frequent interaction with colleagues, partners, schools, and community stakeholders. The role requires flexibility, effective prioritization, and the ability to manage multiple projects simultaneously.
     

Compensation and Benefits

Salary range: $50,000 – $60,000. Final salary is determined by BMT based on years of experience, educational background, and level of expertise. Compensation is competitive and commensurate with experience. BMT offers a comprehensive benefits package designed to support the whole person — your health, your future, and your life outside of work:
