As the Personal Assistant / Executive Assistant to the leadership team, you’ll play a vital support role ensuring smooth day‑to‑day operations, communications, and tasks are handled efficiently so that the leadership can focus on high‑impact strategic work.

Responsibilities:

Executive Support & Scheduling

  • Manage and maintain the leader’s calendar (meetings, travel, personal commitments)
  • Coordinate internal and external meetings, including agenda preparation, logistics, follow-ups
  • Screen calls, emails, correspondence; prioritize, draft responses, and route as necessary
  • Prepare briefs, talking points, presentations, and reports

Operational & Administrative Tasks

  • Handle travel bookings, itineraries, accommodations, visa requests
  • Manage expense reports, reimbursements, and financial tracking for executive
  • Liaise with internal departments (design, operations, marketing, logistics, HR) to ensure alignment
  • Oversee personal tasks or errands as needed (within reason)
  • Maintain filing systems, digital documentation, confidentiality

Communication & Liaison

  • Act as a point of contact between executive and internal staff, partners, vendors
  • Draft, proofread, and send communications on behalf of the executive
  • Handle incoming requests from third parties, filter, and respond or escalate

Project Coordination & Special Tasks

  • Support special projects and initiatives (e.g. new store openings, collaborations, events)
  • Track project deliverables, deadlines, and stakeholder coordination
  • Conduct research and provide summaries to leadership (e.g. market trends, competitor activity)
  • Organize and manage executive’s priorities / to-do lists

Discretion, Confidentiality & Personal Support

  • Handle confidential or sensitive information with discretion
  • Uphold the brand’s values, standards, and professionalism in all interactions
  • Occasionally assist with personal arrangements (e.g., appointments, personal travel)

 

Qualifications & Skills

  • Excellent organizational, time-management, and multitasking skills
  • Strong written and verbal communication skills
  • Proactive problem-solving mindset; resourceful
  • High level of discretion and confidentiality
  • Tech-savvy: proficiency with calendar software, Microsoft Office (Word/Excel/PowerPoint), Google Workspace, project management tools (e.g. Asana, Trello)
  • Ability to work under pressure, adapt to changing priorities, and meet tight deadlines
  • Professional demeanor, polished presentation, strong interpersonal skills
