We are seeking a highly organized and professional Receptionist to join our team in the Hospital & Health Care industry. As the first point of contact for patients, visitors, and staff, the Receptionist plays a crucial role in creating a welcoming environment and ensuring efficient operations within our facility. The ideal candidate will possess exceptional communication skills and a compassionate demeanor, as they will be interacting with individuals who may be experiencing stressful situations related to health care.

Key Objectives

  • Manage front desk activities efficiently to create a positive first impression.
  • Coordinate communication between patients, medical staff, and administrative departments.
  • Support daily operations to enhance patient experience and office workflow.

Responsibilities

  • Greet and assist patients, visitors, and vendors promptly and courteously.
  • Answer and direct incoming calls, respond to inquiries, and take messages as needed.
  • Schedule and confirm patient appointments while maintaining accurate records.
  • Manage patient check-in and check-out processes, including verifying insurance and collecting payments.
  • Maintain a clean, organized, and welcoming reception area.
  • Coordinate with clinical and administrative teams to facilitate smooth patient flow.
  • Handle incoming and outgoing mail, deliveries, and office supplies inventory.
  • Adhere to confidentiality policies and maintain patient privacy at all times.
  • Assist with administrative tasks such as data entry, filing, and documentation as required.

Requirements

  • High school diploma or equivalent; additional certification in office administration is a plus.
  • Proven experience as a receptionist or in a similar customer-facing role, preferably in health care.
  • Excellent communication and interpersonal skills with a professional demeanor.
  • Strong organizational skills and attention to detail.
  • Proficiency in using phone systems, appointment scheduling software, and basic computer applications (MS Office).
  • Ability to multitask, prioritize, and work effectively under pressure.
  • Commitment to maintaining patient confidentiality and compliance with HIPAA regulations.
