Role Overview:
We are seeking a dedicated and detail-oriented Virtual Assistant to join our dynamic team in the Business Supplies and Equipment industry. As a Virtual Assistant, you will play a crucial role in supporting daily operations and enhancing overall productivity. This position is ideal for an individual with a strong organizational skill set and the ability to manage multiple tasks in a fast-paced environment. You will be responsible for assisting with administrative tasks, coordinating schedules, and facilitating communication within the team as well as with clients.
Responsibilities:
- Handle inbound and outbound communications, including emails, calls, and inquiries.
- Coordinate meetings, appointments, and calendar management for team members.
- Assist in preparing reports, presentations, and other business documents.
- Monitor inventory levels and liaise with suppliers to ensure timely procurement of business supplies and equipment.
- Maintain and update databases and filing systems with accuracy and confidentiality.
- Support project coordination and follow up on action items to meet deadlines.
- Perform general administrative duties such as data entry, expense tracking, and order processing.
- Collaborate with internal teams to streamline processes and improve operational efficiency.
Requirements:
- Proven experience as a Virtual Assistant or in a similar administrative role.
- Strong organizational and time-management skills with keen attention to detail.
- Excellent written and verbal communication skills in English (US).
- Proficiency with office software such as Microsoft Office Suite, Google Workspace, and communication tools (Zoom, Slack, etc.).
- Familiarity with inventory management or procurement processes is a plus.
- Ability to work independently, prioritize tasks, and meet deadlines in a remote setting.
- Discretion and professionalism when handling confidential information.
- High school diploma or equivalent required; additional certifications in administration or related fields are advantageous.
