Summary
We are seeking a Bilingual (Spanish) Administrative Assistant(Entry) to support our Quincy regional office. They will be providing both primary front desk coverage and essential administrative support. They will serve as the primary front-desk coverage when the Office Manager is present and act as primary or backup coverage for the Office Manager as needed.
- Type: 7 Months Contract (On-site)
Key Responsibilities
- Perform primary front desk and receptionist duties, warmly greeting callers and visitors.
- Answer routine inquiries and provide necessary information, including referrals to appropriate internal and external units.
- Serve as primary coverage for the front desk when the Office Manager is in the office.
- Act as primary or backup coverage for the Office Manager in the regional office.
- Handle all incoming and outgoing mail and distribute incoming mail to appropriate personnel.
- Maintain appropriate stock of office supplies.
- Coordinate the use of meeting space for trainings and meetings, including managing conference room calendars.
- Set-up and break-down rooms before and after meetings.
- Maintain familiarity with office equipment and points of contact for additional support.
Required & Qualifications
- Minimum High School Diploma
- 2–3 years of administrative experience or equivalent education with 6 months-1 year of experience.
- Excellent customer support and service skills.
- Fluency in oral and written Spanish and English (Mandatory).
- Strong attention to detail and organization.
- Ability to follow written and oral instructions.
- Ability to exercise discretion in handling confidential information and to exercise sound judgment.
- Proficiency in Microsoft Office applications.
- Comfort in learning and working within IT systems.
- Knowledge of the organization of state government.
- Ability to maintain accurate records.
