About the Role
We are seeking a detail-oriented and compassionate Patient Scheduler to support our healthcare team. In this role, you will be the first point of contact for patients, ensuring a smooth and positive scheduling experience. The ideal candidate is organized, tech-savvy, and able to communicate clearly in a fast-paced remote environment.
Key Responsibilities
- Answer inbound calls, emails, and portal requests from patients regarding appointments, services, and scheduling needs.
- Schedule, reschedule, and confirm appointments using the organization’s electronic health record (EHR) system.
- Verify patient demographics, insurance information, and referral requirements prior to scheduling.
- Provide clear instructions for appointment preparation, paperwork, or follow-up steps.
- Manage provider calendars to maximize efficiency and minimize scheduling conflicts.
- Document patient interactions accurately and in compliance with HIPAA standards.
- Coordinate urgent appointment requests with clinical staff as needed.
- Maintain professionalism, empathy, and service excellence during all patient interactions.
- Monitor and respond to scheduling messages, voicemail, and queue tasks in a timely manner.
- Identify and escalate issues related to patient concerns, workflow barriers, or system errors.
Required Qualifications
- High school diploma or GED.
- 1+ year of experience in medical scheduling, patient access, call center, or healthcare customer service.
- Strong verbal and written communication skills.
- Comfortable using multiple systems simultaneously (EHR, scheduling tools, CRM, telephony platforms).
- Ability to work independently with minimal supervision in a remote setting.
- Reliable internet connection and secure, distraction-free workspace.
- Strong attention to detail and accuracy in data entry.
- Ability to maintain confidentiality and adhere to HIPAA regulations.
