Notary Loop is on the lookout for an experienced Executive Assistant to join our dynamic team in Orange Park. This full-time, on-site position offers a fantastic opportunity to support our executive leadership within the fast-paced Computer Software and Engineering industry.

As an Executive Assistant, you will play a critical role in the efficient operation of our office by managing calendars, coordinating meetings, and streamlining communication with both internal and external stakeholders. You will be integral in ensuring our executives have the support they need to drive innovations and deliver exceptional results.

Responsibilities

• Manage executive schedules, coordinate appointments, and prepare meeting agendas
• Facilitate communication between executives and internal teams
• Prepare and edit correspondence, reports, and presentations
• Organize travel arrangements and accommodations for executives
• Maintain confidentiality and handle sensitive information with professionalism
• Assist in project management and tracking of departmental goals
• Coordinate special projects and company events
• Provide general administrative support to executive leadership

Requirements

• Bachelor's degree in Business Administration or related field
• 5+ years of experience as an executive assistant or in a similar role
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Strong organizational and time management skills
• Excellent written and verbal communication abilities
• Ability to prioritize tasks and manage multiple projects effectively
• Strong attention to detail and problem-solving skills
• Experience in the Computer Software/Engineering industry is a plus
