Pechanga Arena San Diego is one of California’s leading entertainment and sports venues, hosting hundreds of world-class events each year. We’re expanding our remote operations team to strengthen administrative efficiency, support leadership initiatives, and enhance cross-department coordination.

Position Overview

The Program Coordinator, Administrative Operations serves as a key support professional to ensure the seamless execution of internal programs, operations, and cross-functional initiatives. This role supports senior leadership by managing workflows, tracking program performance, coordinating between departments, and maintaining critical documentation.

This is a remote role ideal for a detail-oriented professional who thrives in structured, high-responsibility environments and can manage priorities with minimal supervision.

Core Responsibilities

  • Operational Program Management:
    Support the planning, implementation, and tracking of operational programs and initiatives across departments (e.g., event operations, finance coordination, vendor logistics).
  • Reporting & Analysis:
    Develop, maintain, and present operational reports, dashboards, and performance summaries to management. Identify trends and recommend improvements to internal processes.
  • Budget & Contract Coordination:
    Assist in tracking department budgets, vendor invoices, and purchase approvals. Coordinate contract renewals and compliance with financial policies.
  • Cross-Department Collaboration:
    Act as a communication bridge between operations, HR, event management, and finance teams to ensure smooth project execution and information flow.
  • Process Optimization:
    Identify administrative gaps and develop new procedures or digital workflows to improve efficiency.
  • Leadership Support:
    Support directors and senior managers with meeting coordination, documentation, and special projects. Prepare materials and follow up on deliverables.
  • Documentation & Compliance:
    Maintain accurate program documentation, SOPs, and audit-ready records in shared systems.

Qualifications

  • Bachelor’s degree preferred; equivalent experience accepted.
  • 2+ years in program coordination, operations, or administrative management.
  • Advanced skills in Microsoft Excel, Teams, Google Workspace, or Asana.
  • Excellent communication, analytical, and organizational abilities.
  • Proven ability to manage multiple priorities under minimal supervision.
  • Experience supporting executive-level or cross-department initiatives preferred.
