Reliable Security Staffing LLC is seeking a highly organized and proactive Dispatcher / Operations Coordinator to support daily field operations and ensure seamless communication between clients, security personnel, and management. This role is critical to maintaining efficient service delivery, rapid response to incidents, and proper scheduling of security staff across multiple assignments.

As the central point of coordination, you will be responsible for dispatching personnel, monitoring field activity, and ensuring all operational processes run smoothly and efficiently.

Key Responsibilities

Dispatching & Coordination

  • Assign and dispatch security personnel to job sites, shifts, and emergency situations
  • Monitor guard activity, shift coverage, and attendance in real time
  • Coordinate replacements for call-outs, no-shows, or schedule changes
  • Maintain constant communication with field officers via phone, chat, or radio systems
  • Ensure timely deployment of staff to meet client requirements

Scheduling & Workforce Management

  • Create and manage weekly and daily staff schedules
  • Adjust schedules based on operational needs, client demands, and staff availability
  • Track overtime, shift changes, and coverage gaps
  • Maintain accurate staffing records and time logs

Operations Support

  • Act as the main point of contact between clients and security personnel
  • Respond to operational issues, incidents, and service requests promptly
  • Escalate critical incidents to management when necessary
  • Ensure compliance with company policies and client expectations

Communication & Reporting

  • Maintain detailed logs of all dispatch activities, incidents, and communications
  • Prepare daily, weekly, and monthly operational reports
  • Document incidents, shift issues, and resolution actions
  • Provide updates to management on staffing status and operational performance

Customer Service

  • Handle client inquiries and concerns professionally and efficiently
  • Provide updates to clients regarding staffing, incidents, or service changes
  • Maintain strong client relationships through clear and consistent communication

Technology & Systems Management

  • Utilize dispatch software, scheduling tools, and CRM systems to manage operations
  • Monitor GPS tracking and reporting systems (if applicable)
  • Ensure data accuracy and proper documentation within all systems

Required Qualifications

  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
  • Proven experience in dispatching, operations coordination, logistics, or a similar role
  • Excellent communication skills (both written and verbal)
  • Strong organizational and multitasking abilities
  • Ability to remain calm and make quick decisions under pressure
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and scheduling software
  • Strong attention to detail and problem-solving skills
  • Ability to work independently and as part of a team
  • Reliable internet connection (for remote roles) and ability to work flexible hours

Preferred Skills and Experience

  • Experience in the security, staffing, or logistics industry
  • Familiarity with workforce management or dispatch systems
  • Knowledge of local security regulations and compliance standards
  • Experience handling high-volume calls or coordinating multiple teams
  • Strong conflict resolution and decision-making skills

Work Environment and Schedule

This role may be performed remotely, on-site, or in a hybrid setting depending on company needs. The Dispatcher / Operations Coordinator must be available to work flexible shifts, including evenings, weekends, and holidays, as security operations often run 24/7.

The work environment is fast-paced and requires constant attention to detail, quick thinking, and the ability to manage multiple priorities simultaneously.
