Overview
We are looking for a highly organized, detail-oriented Entry-Level Email Administrator to support the creation and maintenance of transactional email communications for our e-commerce business. This role focuses on building and updating email templates, configuring basic triggering logic inside our ERP system, and helping ensure that our automated messages are accurate, timely, and useful for both customers and internal teams.
This is an excellent opportunity for someone early in their career who enjoys problem-solving, working with structured rules, and learning how business systems communicate with customers. Training will be provided, and the role offers meaningful growth in email automation, ERP workflows, and digital operations.

Key Responsibilities

Email Template Support

  • Create and update transactional email templates (order confirmations, delivery updates, account notifications, etc.) using provided brand guidelines.
  • Ensure content is accurate, easy to understand, and helpful to customers.
  • Assist with proofreading and quality checks before emails are released.

Trigger Logic Configuration (ERP)

  • Learn to configure and update basic triggering rules in the company’s ERP system that determine when emails send.
  • Follow established workflows and documentation to ensure accuracy.
  • Participate in testing to confirm that trigger logic works as expected.
  • Escalate any issues or unexpected outcomes to senior team members or technical staff.

Documentation

  • Maintain clear, simple documentation of:
    • Email templates and their purpose
    • Triggering rules
    • Configuration changes
    • Data fields used in emails
  • Keep documentation up to date as templates and processes evolve.

Analysis & Improvement Assistance

  • Review basic email performance metrics (open rates, bounce rates, etc.) and flag anything unusual.
  • Support efforts to make emails more effective and reduce customer confusion.
  • Contribute ideas for improving clarity, layout, or workflow logic.

Cross-Functional Collaboration

  • Work closely with customer service, operations, and product teams to understand template needs.
  • Assist with small updates requested by internal stakeholders.
  • Learn how email workflows support overall business processes.

Qualifications: 
Required

  • Strong attention to detail and ability to follow structured processes.
  • Comfort working with rule-based logic or conditional statements (no coding required, but logical thinking is important).
  • Strong written communication skills.
  • Ability to stay organized when managing multiple templates and small projects.
  • Eagerness to learn ERP systems, workflows, and email operations.

Preferred (Not Required)

  • Exposure to email platforms, automation tools, or template systems (e.g., experience from internships, school projects, or personal work).
  • Basic familiarity with HTML for email formatting.
  • Interest in e-commerce operations or digital communications.
  • Any experience with documentation or process tracking.
