Position Title: Executive Assistant to the Managing Director
Location: Karol Bagh, Delhi, India
Employment Type: Full-time (On-site)
Pay Range: ₹25,000 – ₹35,000 per month (based on experience and suitability)

We are looking for a resourceful and highly organized Executive Assistant to support our Managing Director in daily business operations, coordination, and strategic execution.
Role Summary
The Executive Assistant to the Managing Director will play a pivotal role in ensuring seamless executive operations. This individual will manage schedules, communication, documentation, and confidential data while maintaining strong internal and external coordination. The ideal candidate will have the poise and adaptability of an ideal assistant, dependable, composed, and two steps ahead at all times.
Key Responsibilities
- Manage the MD’s calendar, including scheduling meetings, appointments, and travel itineraries.
- Handle emails, phone calls, correspondence, and confidential documents with discretion.
- Prepare and maintain accountability and delegation sheets, ensuring timely follow-ups and status reports.
- Coordinate executive and operational meetings, draft agendas, record minutes, and track actionable items.
- Monitor and organize sales data, inquiry logs, and customer/vendor records for quick reporting.
- Oversee administrative documentation including leave applications, accident reports, and employee records.
- Assist in data tracking and operational reporting, ensuring timely updates to the MD.
- Support in managing import documentation, vendor communication, and project coordination specific to the optical fiber business.
- Prepare and edit presentations, letters, and reports for internal and external stakeholders.
- Act as a bridge between the MD and internal teams, ensuring smooth communication and follow-through.
- Handle personal tasks and errands for the MD when required, maintaining professionalism and confidentiality.
- Anticipate the needs of the MD and proactively resolve issues before they arise.
Qualifications & Experience
- Graduate from a recognized institution; Secretarial or Administrative background preferred.
- 3–5 years of experience as an Executive Assistant, Secretary, or Admin Coordinator supporting senior management.
- Experience in a tech, import/export, or manufacturing environment preferred.
- Strong communication skills, fluent in spoken and written English.
- Proficiency in MS Office (Excel, Word, PowerPoint) and familiarity with task management tools (e.g., Todoist).
- Shorthand knowledge will be an added advantage.
- Exceptional multitasking, organization, and time-management skills.
- Demonstrated ability to handle confidential information with integrity and discretion.
